This Cookie Policy applies to the WellDesk booking platform available at welldesk.ai and any associated subdomains. Please also read our Privacy Policy, which provides additional information on how we process personal data.
1. What Are Cookies?
Cookies are small text files that a website places on your device (computer, tablet, or smartphone) when you visit it. They are widely used to make websites work correctly, to improve efficiency, and to provide information to the site owner.
Cookies can be:
- First-party cookies — set directly by WellDesk.
- Third-party cookies — set by external providers whose services are integrated into the platform (for example, Google Maps or Stripe).
They can also be classified by duration:
- Session cookies — deleted automatically when you close your browser.
- Persistent cookies — remain on your device for a defined period or until you delete them manually.
2. Who Sets Cookies on This Site?
Cookies on welldesk.ai are set by:
- WellDesk — for essential site operation, user preferences, and analytics where applicable.
- Third-party providers — only where their services are embedded or integrated, and only after you have given consent (where required). Current third-party providers are listed in Section 4.
3. Categories of Cookies
The table below describes every category of cookie used on this platform.
| Category | Purpose | Examples | Consent required? |
|---|---|---|---|
| Strictly necessary | Enable core functionality: user sessions, authentication, security tokens, CSRF protection, and load balancing. The site cannot function properly without these cookies. | session_id, csrf_token, lb_route | No — exempt under ePrivacy/LSSI Art. 22(2) as technically necessary. |
| Preferences | Store your choices to improve your experience. The consent-preference cookie (which records whether you have accepted or refused non-essential cookies) is technically necessary and does not require prior consent. | cookie_consent, lang_pref | Consent-preference cookie: No. Other preference cookies: Yes, unless strictly necessary. |
| Analytics | Collect aggregated, anonymised data on how visitors use the site in order to improve the platform. Only set if and when analytics tools are deployed. | _ga, _gid | Yes — loaded only after consent. |
| Third-party embeds — Google Maps | Shop and booking pages may embed a Google Maps map to display the shop's location. Google may set cookies when this embed is loaded. The embed is blocked until you give consent. | NID, CONSENT | Yes — the embed loads only after consent. If consent is refused, the map is not displayed. |
| Payment — Stripe | When you proceed to checkout, Stripe may set cookies or use similar technologies on its hosted payment pages for fraud prevention, security, and regulatory compliance. These operate under Stripe's own policies. | __stripe_mid, __stripe_sid | Stripe's fraud-prevention and security cookies are technically necessary for the payment transaction. Stripe's own policies govern any additional cookies. |
4. Third-Party Providers
The following third-party services may set cookies or use similar technologies when their functionality is active on this platform.
| Provider | Role | Policy link |
|---|---|---|
| Google LLC | Map embed (Google Maps) on shop and booking pages | Google Privacy Policy · Google Maps cookies |
| Stripe, Inc. | Payment processing | Stripe Privacy Policy · Stripe Cookies Policy |
| Cloudflare, Inc. | Content delivery network (CDN), DDoS protection, and DNS | Cloudflare Privacy Policy · Cloudflare Cookie Policy |
WellDesk does not control the cookies set by these third parties on their own domains or within their embedded components.
5. How Long Do Cookies Last?
| Cookie type | Typical duration |
|---|---|
| Session cookies | Deleted when you close your browser |
| Consent-preference cookie | Up to 12 months from the date of your choice |
| Analytics cookies | Up to 24 months (varies by tool) |

6. How to Manage or Withdraw Consent
6.1 Via the WellDesk Cookie Banner
When you first visit welldesk.ai, a cookie consent banner is displayed. You can:
- Accept non-essential cookies to enable analytics, map embeds, and other optional features.
- Refuse or customise your choices to allow only strictly necessary cookies.
You can change or withdraw your consent at any time by accessing the cookie settings panel available on the site. Withdrawing consent will take effect going forward; it does not affect the lawfulness of any processing carried out before withdrawal.
6.2 Via Your Browser Settings
You can also control or delete cookies directly through your browser. Most browsers allow you to:
- View and delete existing cookies.
- Block all cookies or block cookies from specific sites.
- Set preferences for handling cookies from first-party and third-party sources.

7. Consequences of Refusing Non-Essential Cookies
Refusing non-essential cookies will not prevent you from using the core booking functionality of WellDesk. However, certain features will be affected:
- Google Maps embed: If you do not consent, the interactive map on shop and booking pages will not be displayed. The shop's address will still be shown as text.
- Analytics: No usage data will be collected from your session. This has no impact on your ability to use the platform.
Strictly necessary cookies cannot be refused, as they are required for the platform to function securely.
8. Changes to This Policy
We may update this Cookie Policy from time to time to reflect changes in the cookies we use, changes in applicable law, or changes to third-party services. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, display a notice on the platform.
